Trip Cancellation Policy

These policies are in place to ensure you, our customer, receive the highest level of service and quality instruction. As group sizes are limited, all cancellation / rescheduling deadlines will be strictly adhered to. All cancellations must be received via letter or e-mail. Verbal cancellations are not accepted.

Cancelling a trip close to commencement date affects everybody on the course. Cancelling or changing a trip should be considered a last resort.

Trip Payments

Trip deposits are Non-refundable

All customers are requested to confirm trip bookings with payment in full at least 30 days prior to the trip. Full payment ensures participant registration on the trip selected.

Below you will find our payment and cancellation schedule for 2023.

Deposit Schedule

i) 25% of total amount deposited upon booking and is refundable for 30 days. Due to the Pandemic, we have made changes and bookings made after May 2020 are refundable with the conditions listed below.

Conditions for refund:

1) In case the cancellation would come from us.

2) In case there are no international flights into the destination available to be booked in the months of the scheduled trip and the group would prefer to cancel the booking.

3) In case the previously selected country on which there would be a connecting airport with direct flights to Tonga establish a mandatory quarantine for fully vaccinated passengers during transit; and the group would prefer to cancel the booking.

4) In case of the local authorities closing borders for international travel – independently of vaccination status – or establishing a mandatory quarantine for fully vaccinated travellers; and the group would prefer to cancel the booking.

ii) 25% of total amount deposited 3 months prior to the estimated start of the trip – non-refundable + transferable for the next season

Conditions for transfer:

1) In case the cancellation would come from us.

2) In case there are no international flights into Tonga available to be booked in the months of August and September; and the group would prefer to cancel the booking.

3) In case the previously selected country on which there would be a connecting airport with direct flights to Tonga establish a mandatory quarantine for fully vaccinated passengers during transit; and the group would prefer to cancel the booking.

4) In case of the Tongan authorities closing borders for international traveling – independently of vaccination status – or establishing a mandatory quarantine for fully vaccinated travellers; and the group would prefer to cancel the booking.

iii) 50% of the total amount deposited 30 days prior to the start of the trip.

Cancellations

A company or individual may cancel a by submitting a WRITTEN NOTICE via e-mail or letter to the address above. The deposit is non-refundable and the balance of the trip is subject to the following cancellation fees:

· If cancelled over 3 months before the scheduled starting date of the trip, no payments are necessary and where full payment has been made, Freediving Holidays  will refund the trip balance back to the company or individual (except for the deposit)

· If cancelled within 3 month but more than 45 days before the scheduled starting date of the trip, a 50% cancellation fee will required by the company or individual.

· If cancelled within 45 days  before the scheduled starting date of the trip, a 100% cancellation fee will be required by the company or individual.

Requests for Rescheduling

A company or individual may reschedule a trip without penalty by providing WRITTEN NOTICE at least 60 days prior to the scheduled starting date of the Trip. If a company or individual reschedules a specific trip without 60 days notice prior to the starting date and more than 21 days before, the company or individual will incur a “rescheduling fee” of 25% of the full fees which is due and payable prior to attending the rescheduled trip. A non-cancellation policy towards the new trip date will apply. Reschedules will be based on availability.

No Shows

If a company or individual does not attend a trip and does not give notice, the company or individual will incur a 100% “no-show” fee.

Reimbursements

Freediving Holidays reserves the right to cancel a trip at any time. If that is to occur, we will refund the trip fee(s) in full. In very exceptional circumstances, a trip may be cancelled by Freediving Holidays if a minimum number of candidates are not registered. In such an event, a candidate will be moved to any trip of their choice subject to availability and no extra fees will be incurred. Our liability is limited to trip fee(s) only. We cannot be held liable for airfare, lodging or other related expenses, including any airline penalties incurred. Freediving Holidays will take all reasonable endeavours to provide notice to customers in the event of trip cancellation.

Late Arrivals

We ask that you please arrive at the agreed start time of the trip as late arrivals disrupt the trip flow. In the event of late attendance, trips will begin at the scheduled time.

Maximum and Certification depths on Freediving courses held during the trips.

Listed course depths are the maximum depths allowed on the course. Actual depths may vary depending on actual dive location and weathr.

Certification depths are shallower than the maximum course depth and it is not required to reach the maximum course date to achieve a certification.

Health Requirement for classes held during our trips.

Single Occupancys must complete a medical declaration prior to commencing the course. It is at the discretion of the instrutor to decide weather a prior medical condition is acceptable. When a medical condition appears on the form, it is the student’s responsibility to seek medical advice and a medical clearence for freediving may be required. Please consult your instructor if you have any doubt.
